Search guide: search terms, badges, filters, and results
Search by topic, phrase, name, or record number. Search is not case-sensitive. Put quotation marks around an exact phrase, and keep searches specific because every search term matters.
Quick searches and categories
- Popular badges run immediately and clear the other search fields. Agenda starts with its Category set to All. Settlements selects City Contract and Settlement; Contracts does not select a subtype.
- Choose a Document category to see its search fields:
- All: subject and date range.
- Agenda: staff report ID, agenda category, legislative body, and meeting date.
- Ordinances or Resolutions: number, subject, legislative body, and date; Minutes: subject, legislative body, and date.
- Budget: subject and document type; Building Permit: project or permit number, APN, and address. Permit records may be labeled Permit Documents.
- City Policy: policy name and number; City Contract: contract number, project name, other party, document type, dates, and amount.
- To combine a category with terms or other fields, enter them in the form and select Search records. A From date or a To date can be used by itself.
Department counts and filters
Department counts are fetched for an unfiltered All records search and represent the public, latest-version repository. They are not recalculated for a keyword, category, or date-filtered search. A direct category search may not have Department options; if counts remain visible after narrowing, they are repository-wide, not counts for the current results. The plus or minus beside Department opens or collapses the filter group.
Results and the 250-record limit
You can show 10, 25, or 50 results per page and sort by relevance, newest, oldest, or title. Browsing is limited to the first 250 candidate records. For searches that require local filtering, the portal filters up to 250 candidates, so the displayed count may not represent every matching record in the repository. Seeing 250 records does not guarantee there are exactly 250 matches.
If a record is missing or you reach the browsing limit, try a distinctive phrase or number, or narrow by date or Department when available. Search across All records before narrowing by category if needed. Select a record title or View document to open it, or Download to save it.
Examples

- For a contract with a vendor, select Contracts, enter the vendor under Other party contains, and select Search records.
- For records from a date onward, select a category, set From, leave To blank, and run the search.
